Checking/Changing User Security

The easiest way to check an employee’s/user’s Employee Self-Service Kiosk security access is via Admin > Users.



This option displays all employees/users in an easy to view layout.

Tabs are used to group employees into alphabetical order. The employee’s surname is used for the grouping.

 

The number displayed in the Employee column is their payroll number. Count refers to the number of employee's/users in that Group.
Company Name is their employing company.
If the Login column is ticked, the employee has been provided with access to Employee Self-Service Kiosk (via the Security tab in the Employee file in Ready Pay).
Groups Assigned column displays the Security Group to which the employee is assigned.

If the MFA column is ticked, users need Multi Factor Authentication to log into Employee Self-Service Kiosk. Clicking the Reset MFA link will reset their MFA if the user has been locked out of Employee Self-Service Kiosk.

The Last Login column shows the Date and Time the user last logged into Employee Self-Service Kiosk.

The Users grid is very useful when trying to diagnose access problems.

In the example above, three employees have Employee Self-Service Kiosk access (Login) ticked in Ready Pay.
If one of these employees did not have this option ticked, they would not be able to log in to Employee Self-Service Kiosk.

This screen is also handy to check if any employee has been linked to multiple security profiles.
While linking to multiple profiles is allowed, if done in error it can cause the employee to have access to features or screens that they shouldn’t.

Therefore, generally a user should only be allocated to one Group.

 

Changing User Security

Select a user from this grid by clicking on the Action to the left of the Employee number.
This will open the a Groups window:

 

For example the employee may have been promoted and now needs to be assigned to the MSS group, and no longer be allocated in the ESS group.
Untick the ESS group and tick the MSS group to re assign access.

Once the required changes have been made, click Update.
Alternatively, Go Back will cancel any changes and return to the previous employee listing screen.
The Groups window also gives users, with the correct security access, the ability to Impersonate a user.
This is particularly useful if there are issues with the user, and can help determine whether changes need to be made or it is a User error.
